He is interested to follow-up with Lake Mountain Alpine Resort i.e. he would take on the job of doing the tasks from orienteering’s point-of-view, subject to agreeing acceptable fees with the resort. Subject: Lake Mountain Alpine Resort Hello I am going to holding a number of ski orienteering events this winter and also over the summer at Lake Mountain Alpine Resort. With Lake Mountain very well suited to ski orienteering events with over 40 km of cross country ski trails. We have a new CEO at Lake Mountain Alpine Resort who is very proactive in growing Lake Mountain Alpine Resort during the summer season and we now have the marketing resources and staff to hold winter and summer competitions. As we are new to orienteering and would like to hold a test event in the winter season, and would like to ask you if you would have a contact person who I can talk to about the possibility of supplying the controls and stamps that we would need. I undertook to do a limited amount of follow-up for VOA. On Monday 4 July I spoke on the phone to Alan Eason and confirmed by email: Hi Alan This will cover the main points we discussed today on the telephone. You are considering putting on a ski-O/snowshoe event maybe in August and also creating a permanent course. You have a Swedish ski instructor who is an orienteer; he will do the fieldwork for mapping. You may also use the same map, with any needed adaptations, for mountain bikes in summer. You will also look at organising an O-event maybe in February or March. Map I am today posting you a copy of the existing map; this is about 15 years old and now out-of- date. We draw our maps using a programme called O-Cad. I am able to introduce you to persons who have this programme and who would be able to draw the map from your fieldwork. Clearly it would be wise for the fieldworker and the map drawer to meet sooner rather than later to discuss the style of the map and each other's requirements. The drawer can then estimate costs. Equipment For a permanent course you thought you would fix a metal plate and a punch to the track-side ski poles. Where there is not a ski-pole, you could dig a hole to put a pole into the ground. We use metal plates and punches for street/park orienteering and I will be able to arrange for you to see one. We can suggest persons who can make them or you may be able to get it done locally. You will need to buy the necessary punches; I am seeking details of supplier and prices. For other events you may prefer to use the orienteering red and white 'kites' with a punch on a piece of cord or on a metal stand. O Clubs do have these and you would be able to borrow/hire from a Melbourne club. Maps should be supplied to competitors in a clear plastic bag with a click seal to keep them clean and waterproof. We have control cards with spaces for thirty controls and are able to supply a stock of these. Again you will need to have clear plastic bags. Promotion You do have your own lists of xc ski clubs and schools. Orienteering in Victoria has: * National magazine "The Australian Orienteer" and printed state magazine. These go to all registered members. Next issue is September; this is too late for ski-O this year but good for promotion of foot-O and MTB. * Weekly email newsletter. I am forwarding you a copy of last week's issue. Suggest you email the newsletter to ask to be added to the circulation list (mention my name). This will be good to promote ski-O event. There is no charge for succinct information published in this newsletter. Suggest you also contact Rogaining to see how they could help with promotion. Best wishes, Ian Baker For Orienteering Victoria 9589 1684 The same day I posted an envelope with copies of the old map, together with the most recent The Australian Orienteer and O-Vic. I emailed Lake Mountain the course-setting guidelines for street/park O. I also asked VOA to put Lake Mountain on the list for the weekly email newsletter. 3. It is clear that there is a good opportunity for the VOA to provide a range of assistance in mapping, provision of equipment, marketing promotion and event organisation. This needs a person or persons who can put a bit of time and effort into the task. Map Discuss fieldwork with the Swedish fieldworker. Draw up on OCAD, maybe in more than one version e.g. winter for ski/snowshoe O, summer for foot-O/bush walking, MTB and MTBO. Maintain maps in computer so updates are easy. This is something of a priority given Lake Mountain hope to have an event in August. Event planning Discuss the events to be held and agree a calendar coordinated with: Foot-O fixtures inc park/street Rogaines XC ski events MTB events Equipment VOA advised: O equipment needs go to- Orienteering Service of Australia 9017 4835 and www.osoa.com.au You can buy on-line or ring. Have attached pics of 2 types of permanent post used in Parks around Melbourne this will give you some idea of what can be done. Alternatively A5 metal/ plastic material with punch attached and then attached to tree etc by padlock and chain is another idea. Presumably other equipment needed could be borrowed or hired from an orienteering club e.g. control kites and punches, control cards, start/finish banners, water containers for drink controls. 4. Suggestion We should plan for a summer event at Lake Mountain, maybe to be called Lake Mountain High-O The name builds on the High-O held at Falls Creek for many years but not now possible, principally because of land use restrictions following bush fires. Date could be Australia Day weekend: Australia Day is officially Thursday 26 January 2012, so the event would be on either Saturday 28 or Sunday 29 January. A possible format would be similar to street/park scatter-O with the start at e.g. The Camp (starting at the car park would mean everyone goes the same way in mass start). Finish could be same place or car park. Course could be: 3 hour 2 hour One hour (or 75/80 minutes) with options for running or walking, solo or pairs/groups. Given that there are about 30-35 km of trails at Lake Mountain, a fit orienteer should get all controls in three hours, so fastest wins. It would probably be an advantage to Lake Mountain if an orienteering club took over some of the organisation of this event; clubs have equipment, experience and people. Would a levy be due to VOA? Entry fees need to be decided together with the split between orienteering and Lake Mountain. Promotion would be directed at: Orienteers – December printed newsletter (insert brochure), regular email newsletter. Rogainers – newsletter, email. Need to check possibilities. XC ski clubs and schools – Lake Mountain have address lists. VOA electronic entry system could be used for all advance entries. Need to format entry form etc. Also print extra maps for entries-on-the-day (surcharge?) (ends)
